Client Services & Office Coordinator

The Client Services & Office Coordinator will need to be able to perform administrative tasks such as:

• Answering and directing incoming phone calls

• Updating company documents and forms

• Accurately enter and maintain information across multiple internal databases

• Coordinate conference room schedules and various internal and external office meetings

• Utilize Microsoft Word, Outlook, Access, Excel, Adobe, and Canva proficiently to support daily operations

• Communicating via phone and email with employees, clients, and other external contacts

• Operating the copier and other office equipment

• Filing company records

• Processing incoming and outgoing mail

• Maintain a tidy, welcoming front office and conference rooms, ensuring spaces are always client-ready

• Oversee day-to-day office operations, including coordination with building services and facilities needs

• Manage and maintain company inventory of office supplies

• Ensure compliance with engineering firm licensing requirements and related documentation

• Maintain and update the company’s business contacts database and contact lists

• Maintain the company sign-out log, serving as an internal reference for employee availability, work status, and locations

• Perform additional administrative and operational duties to assist and support the Support team and all other teams within the company

This role serves as the central hub of Baisch Engineering, acting as a go-to resource for employees across all teams. The individual in this position is often the first point of contact and plays a key role in keeping daily operations running smoothly. We are seeking someone who is reliable, eager to learn, and brings a positive, can-do attitude to everything they take on. A successful candidate is proactive, adaptable, and genuinely enjoys supporting others and helping the organization succeed.
